Cheer Trainer LLC ("Cheer Trainer," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Cheer Trainer platform, including any mobile and web applications, related services, and content (collectively, the "Service").

Please read this Privacy Policy carefully. By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by all the terms of this Privacy Policy. If you do not agree with our policies and practices, please do not use our Service.

2. INFORMATION WE COLLECT

We collect several types of information from and about users of our Service:

2.1 Information You Provide to Us

When you register, use, or interact with our Service, we may collect information that could reasonably be used to identify you ("Personal Information"), such as:

  • Account Information: Name, email address, date of birth, school name, profile photos, and account credentials.
  • Profile Information: Information you provide in your user profile, including type of cheer, style of cheer, role (flyer, base), equipment access, and measurement preferences.
  • Training and Performance Data: Information about your physical capabilities, training activities, workout records, performance measurements, progress tracking, strength training logs, cardiovascular exercise data, and fitness assessment results.
  • Fitness Testing Data: Performance test results, measurement values, progress tracking over time, testing videos and images, coach assessments and feedback, historical performance comparisons, and athletic development metrics.
  • Strength Training Data: Workout logs, exercise selections, weight progressions, repetition counts, training frequencies, program adherence data, and strength development tracking.
  • Cardiovascular Training Data: Exercise duration, intensity levels, heart rate data, distance covered, training zones, recovery metrics, and cardiovascular fitness progression.
  • Communications: Information you provide when you contact us for support, and messages you send to coaches or teammates through the Service. Messages are stored and can be read by the coaches in that conversation.
  • Subscription Information: Payment information, billing address, and transaction history when you subscribe to our premium services.
  • Content: The content you upload to the Service, including videos, images, comments, and other materials related to skill checks, training activities, and performance documentation.
  • Uniform Sizing: If you or your coach enter them, clothing and shoe sizes and the body measurements used for uniform fitting (such as chest, waist, hip, and inseam).
  • Team Logistics: Event attendance, travel itineraries, hotel room and transport group assignments, and event addresses entered by your coach.

2.2 Information We Collect Automatically

When you access or use our Service, we may automatically collect certain information, including:

  • Usage Information: Information about your interactions with the Service, such as the features you use, training programs accessed, time spent on the Service, workout completion rates, and the pages or screens you view.
  • Device Information: Information about the device you use to access the Service, including device type, operating system, browser type, IP address, device identifiers, and time zone.
  • Location Information: General location information derived from your IP address.
  • Log Data: Information that your browser or device automatically sends whenever you visit our Service, including access times, pages viewed, training sessions initiated, and referring website addresses.
  • Cookies and Similar Technologies: Information collected through cookies and local storage. For more information, see Section 9 "Cookies and Similar Technologies" below.
  • Locally Cached Data: Your sign-in state and display preferences are kept on your device so the app opens quickly. Training data is not stored offline.
  • Device Permissions (mobile app): With your permission, the mobile app uses the camera, microphone, and photo library only to record or choose Skill Check photos and videos and to scan team QR codes. We do not otherwise access your camera or photos.

2.3 Information from Third Parties

We may receive information about you from third parties, including:

  • Team Information: If you are connected to a team, we may receive information about you from your head coach or assistant coaches, including performance data, training assignments, event attendance, and progress evaluations.
  • Payment Processors: When you subscribe to a paid plan, we may receive billing, transaction, and payment-method metadata from our payment processor (Stripe) required to process your payment and manage your subscription.
  • Third-Party Infrastructure Providers: Information flowing through the essential service providers that host and operate our platform: Vercel (frontend hosting), Render (application hosting), Neon (managed Postgres database), and Cloudflare (content delivery, R2 object storage, and DDoS protection).
  • Map and Location Services: When a coach enters an event address, we use the Google Maps Places API to suggest and geocode that address. Google's privacy policy applies to that lookup.
  • Push Notification Services: If you enable push notifications, we may receive device tokens and delivery confirmations through Firebase Cloud Messaging (Google) so we can deliver the notifications you've opted into.

3. HOW WE USE YOUR INFORMATION

We use the information we collect for various purposes, including:

3.1 To Provide and Maintain the Service

  • Create and manage your account
  • Process your subscriptions and transactions through Stripe payment processing
  • Store and deliver content through our Vercel, Render, Neon, and Cloudflare infrastructure
  • Deliver the features and functionality you request
  • Connect head coaches, assistant coaches, and athletes for training purposes
  • Enable communication between users
  • Provide technical support and respond to your inquiries
  • Process and analyze all types of training data (strength, cardio, hit/miss, skill checks, measurements) to track athletic progress
  • Generate performance insights and personalized training recommendations
  • Facilitate workout programming and exercise prescription
  • Enable progress tracking across multiple training modalities
  • Synchronize data across devices for PWA functionality
  • Keep you signed in between visits

3.2 To Improve and Personalize the Service

  • Understand how users interact with our Service and different training features
  • Analyze usage patterns and trends across training types
  • Develop new features and functionality for strength, cardio, and testing modules
  • Personalize your training experience based on your activity and preferences
  • Recommend relevant training programs, exercises, and progressions
  • Track your progress and provide performance insights across all training areas
  • Analyze fitness testing data to improve testing protocols and recommendations
  • Optimize training algorithms based on user outcomes and feedback
  • Improve app performance and reliability
  • Enhance user interface and experience design

3.3 For Marketing and Communication

  • Send you updates about new features, training programs, or services
  • Communicate about your account or subscription
  • Provide administrative notices
  • Respond to your comments, questions, and requests
  • Conduct surveys and collect feedback about training features
  • Share success stories and achievements (with your consent)

3.4 For Security and Legal Purposes

  • Protect the safety and security of our users and Service
  • Detect, investigate, and prevent fraudulent transactions and other illegal activities
  • Debug to identify and repair errors in training algorithms or data processing
  • Enforce our Terms and Conditions and other policies
  • Comply with legal obligations and regulatory requirements

4. HOW WE SHARE YOUR INFORMATION

We may share your information in the following circumstances:

4.1 With Other Users

Certain information about you may be visible to other users of the Service as part of the normal function of the platform:

  • Coach-Athlete Relationship: When you connect with a coach through our platform, coaches can see comprehensive information about athletes on their team, including profiles, all training data (strength, cardio, testing), progress tracking, performance metrics, workout completion rates, and fitness assessment results.
  • Important Note: As stated in our Terms and Conditions, we do not verify coach qualifications, credentials, or training. Users are solely responsible for verifying coach competency and appropriateness.
  • Team Members: Other athletes on your team may see your name, your squad membership, and shared items such as group Skill Check assignments and team messages. They do not see your measurements, training logs, or Skill Check media.
  • Content Sharing: Content you upload is visible to you and to the head coach and assistant coaches of your team. There are no per-item visibility settings; to withdraw access, leave the team or delete your account.

4.2 With Service Providers

We share your information with third-party vendors and service providers who need access to your information to perform services on our behalf. Our core infrastructure stack is hosted in the United States (Ohio, us-east-2 region):

  • Vercel Inc.: Hosts our frontend (Next.js) web and Progressive Web App.
  • Render, Inc.: Hosts our backend API services, which process authentication, training data, events, and all application logic.
  • Neon, Inc.: Provides our managed Postgres database, where all account, training, and performance data is stored.
  • Cloudflare, Inc.: Provides content delivery, DDoS protection, and R2 object storage for uploaded media (skill check videos, profile images, and similar content).
  • Stripe, Inc.: Processes payments, manages subscriptions, and stores billing information for paid plans. Stripe is PCI DSS compliant; we never store your full card number.
  • Google LLC: Provides the Google Maps Places API used for event address lookup and geocoding, and Firebase Cloud Messaging used to deliver push notifications when you've opted into them.
  • Resend, Inc.: Delivers account email (verification, password resets, team notices) and, for coaches who have not opted out, product updates. We keep delivery status such as bounces so we stop sending to addresses that fail.
  • Functional Software, Inc. (Sentry): Receives crash and error reports, including device and browser type, IP address, and the screen where the error occurred, so we can fix problems. Session recording is off.

Each of these providers operates under a data processing agreement that requires them to use your information only for the purposes for which we disclosed it and to protect it consistent with this Privacy Policy. We do not sell personal information.

4.3 For Legal Reasons

We may disclose your information if we believe in good faith that such disclosure is necessary to:

  • Comply with relevant laws or to respond to subpoenas, court orders, or other legal process served on us
  • Protect and defend our rights or property
  • Prevent fraud, abuse, or illegal activity
  • Protect the personal safety of users of the Service or the public
  • Protect against legal liability
  • Respond to emergencies where someone's physical safety may be at risk

4.4 Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of company assets, your information may be transferred as part of that transaction. We will notify you of any change in ownership or uses of your information.

4.5 With Your Consent

We may share your information in any other circumstances where we have your explicit consent.

5. COACH-ATHLETE DATA RELATIONSHIPS

5.1 Coach Access Rights and Responsibilities

Important Disclaimer: As detailed in our Terms and Conditions, Cheer Trainer does not verify, validate, or certify coach qualifications, credentials, insurance coverage, background checks, or training certifications. Users are solely responsible for independently verifying coach qualifications and ensuring appropriate supervision levels.

  • All workout logs, performance measurements, and progress tracking
  • Training videos and images you submit for assessment
  • Fitness testing results and historical performance data
  • Health and fitness information relevant to training

5.2 Managing Coach Access

  • Granting Access: You can connect with coaches through team invitations or direct coach connections in the platform
  • Data Visibility: Once connected, coaches have access to your training data as part of the coaching relationship
  • Coach Responsibilities: Coaches are expected to use athlete data solely for legitimate coaching and training purposes
  • User Responsibility: You assume all risks associated with sharing data with coaches, as we do not verify coach competency or credentials

5.3 Team Data Management

Team Account Structure: For users participating in organized teams:

  • Assistant coaches on your team have the same access to athlete data as the head coach
  • Individual athlete data is accessible to designated coaches
  • Team data may be used for performance analytics and comparisons
  • Users should independently verify the qualifications of their coaches

6. PROGRESSIVE WEB APP (PWA) DATA HANDLING

6.1 What Is Stored on Your Device

Our Service runs as a Progressive Web App and as a mobile app that loads the same web application. The app needs an internet connection to save data. It does not queue workouts, Skill Checks, or measurements offline. The only data kept on your device is:

  • Your sign-in state, so you stay logged in between visits
  • Display preferences such as the last tab or filter you used
  • A push notification token, if you turn notifications on

Everything you enter is saved directly to our servers. If your connection drops while saving, the app tells you and you can try again once you are back online.

6.2 Installation and Uninstallation

  • Installing the app on your home screen does not change our data practices
  • Uninstalling the app or clearing your browser data removes the device cache only
  • Your account and all server-stored data stay in place until you delete them

6.3 Third-Party Service Dependencies

The Service depends on our hosting and storage providers:

  • Application serving relies on Vercel (frontend) and Render (backend API)
  • Saving data requires connectivity to our Neon Postgres database
  • Uploaded media relies on Cloudflare R2 object storage
  • Service interruptions at a provider may make the app temporarily unavailable

7. DATA RETENTION

We retain your information for as long as your account is active or as needed to provide you with the Service, comply with our legal obligations, resolve disputes, and enforce our agreements.

Training Data Retention:

  • Strength Training Data: We retain workout logs, exercise progressions, and performance metrics for as long as your account is active to enable long-term progress tracking and program optimization.
  • Cardiovascular Training Data: We retain cardio session data, heart rate information, and endurance metrics for the duration of your account to support fitness development and health monitoring.
  • Fitness Testing Data: We retain testing results, performance measurements, and assessment data for as long as your account is active to enable progress tracking and historical comparisons.
  • Video and Image Content: Media content uploaded for training documentation or skill verification is kept until you or your coach delete the submission, or your account is deleted.

Account Deletion: Following our Terms and Conditions provisions:

  • Self-Service Deletion: You can delete your account in the app from Profile, then Delete Account (your password is required), or by emailing support@cheertrainer.com
  • Data Removal Timeline: Your account, training data, and uploaded media are removed from our active systems immediately and from backups within 90 days
  • Retained Data: We retain certain anonymized, aggregated data for platform improvement and research purposes
  • Legal Compliance: We preserve information required for legal compliance, fraud prevention, or dispute resolution
  • Media Content: Video and image content is removed from our active systems
  • Subscription Handling: Deleting your account cancels any active subscription, so no further charges occur

8. YOUR RIGHTS AND CHOICES

Depending on your location, you may have certain rights regarding your personal information. These may include:

8.1 Account Information

You can update, correct, or delete certain account information by accessing your account settings within the Service. If you cannot make the change yourself, you can contact us for assistance.

8.2 Communication Preferences

You can opt out of receiving promotional emails from us by following the unsubscribe instructions in those emails. Even if you opt out, we may still send you non-promotional communications, such as those about your account, subscriptions, or our ongoing business relations.

8.3 Who Can See Your Data

Data you enter is visible to you and to the head coach and assistant coaches of any team you join. There are no per-item privacy or visibility settings. To withdraw a coach's access, leave the team or delete your account.

8.4 Training Data Control

You can control how your training data is shared and used by:

  • Managing which coaches can access your training information through team connections
  • Deleting individual workout sessions, Skill Check submissions, or measurements in the app, or asking us to delete them
  • Downloading a copy of your data from Profile, then Download my data

8.5 California Privacy Rights

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA) regarding your personal information, including:

  • The right to know what personal information we collect, use, disclose, and sell
  • The right to request deletion of your personal information
  • The right to opt-out of the sale of your personal information (note: we do not sell personal information as defined by the CCPA)
  • The right to non-discrimination for exercising your CCPA rights

8.6 International Data Subject Rights

If you are located in the European Economic Area (EEA), United Kingdom, or other regions with data protection laws that grant these rights, you may have the following rights:

  • Rectify inaccurate or incomplete information
  • Erase your personal information in certain circumstances
  • Restrict or object to the processing of your personal information
  • Data portability in certain circumstances
  • Withdraw consent where processing is based on consent

9. COOKIES AND SIMILAR TECHNOLOGIES

9.1 What We Use

Cookies are small data files stored on your device. We use only the cookies and local storage the Service needs to work. We do not use advertising cookies, web beacons, tracking pixels, or third-party analytics.

9.2 The Specific Items

  • Sign-in cookie: A secure, httpOnly refresh cookie that keeps you signed in. It cannot be read by scripts on the page.
  • Push token cookie: If you turn on notifications, the device token that lets us deliver them.
  • Local storage: Your sign-in state and display preferences.

9.3 Your Choices

You can clear or block cookies in your browser settings. Blocking the sign-in cookie means you will need to sign in each visit.

10. DATA SECURITY

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. All information you provide to us is stored on secure servers behind firewalls, and any payment transactions will be encrypted using SSL technology.

Security Measures for Training Data : We implement security measures for health and fitness data, including:

  • TLS encryption in transit and at-rest encryption for all training data
  • Access controls and least-privilege policies for production systems
  • Secure data storage with Neon (Postgres), Render (application hosting), and Cloudflare R2 (object storage)
  • Regular monitoring for unauthorized access attempts
  • Secure HTTPS connections required for all PWA functionality
  • Access tokens are held in memory only and never written to device storage; a refresh token lives in a secure httpOnly cookie
  • Password hashing using industry-standard algorithms; plain-text passwords are never stored

Third-Party Security: Our core infrastructure relies on providers that maintain industry-leading security certifications:

  • Neon provides SOC 2 Type II and HIPAA-aligned Postgres hosting with point-in-time recovery
  • Render and Vercel provide SOC 2 compliant application hosting with automated security patching
  • Cloudflare delivers SOC 2 compliant content delivery, DDoS protection, and R2 object storage
  • Stripe handles payment security with PCI DSS Level 1 compliance

However, the safety and security of your information also depends on you. We urge you to be careful about keeping your account information secure and about giving out information in public areas of the Service.

Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Service. Any transmission of personal information is at your own risk.

11. CHILDREN'S PRIVACY

Cheer Trainer is used by cheerleaders and dancers of all ages, including minors. We take children's privacy seriously and comply with the Children's Online Privacy Protection Act (COPPA) and similar state laws.

11.1 Users Under 13

Our Service is not directed to children under 13. Date of birth is required at signup, and we refuse accounts for anyone under 13. We do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13, we will promptly delete that information.

If you believe we have collected information from your child under 13, contact us at support@cheertrainer.com and we will investigate and, where required, delete the information within 30 days.

11.2 Users 13–17 (Minors)

Users between 13 and 17 years old are considered minors. By registering, you represent that a parent or legal guardian has reviewed these terms and consents to your use of the Service. Coaches who add minors to their teams are responsible for ensuring they have the necessary consents from each athlete's parent or guardian before inviting them to the platform.

11.3 Parent and Guardian Rights

Parents and legal guardians of users under 18 may, at any time:

  • Review the personal information we've collected about their child
  • Request that we delete their child's personal information
  • Refuse further collection or use of their child's information
  • Revoke any previously given consent

11.4 What We Do NOT Do

  • We do not sell or rent personal information of any user, regardless of age
  • We do not target advertising at minors
  • We do not share minor user data with third parties for marketing purposes
  • We do not collect more information from minors than is reasonably necessary to provide the Service

12. INTERNATIONAL DATA TRANSFERS

Your information may be transferred to, and maintained on, computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.

If you are located outside the United States and choose to provide information to us, please note that we transfer the information to the United States and process it there. Your submission of such information represents your agreement to that transfer.

We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy, and no transfer of your personal information will take place to an organization or a country unless there are adequate controls in place.

15.1 Collection and Use of Health and Fitness Data

Our Service collects and processes health and fitness data, including physical measurements, performance metrics, workout records, fitness testing results, strength training data, cardiovascular exercise information, and other fitness-related information. This data is collected to:

  • Track your progress and performance across all training modalities
  • Provide personalized training recommendations based on your fitness profile
  • Enable coaches to monitor athlete development (with the understanding that coach qualifications are not verified by us)
  • Generate insights and analytics about your fitness activities and improvements
  • Facilitate team performance analysis and comparisons
  • Support athletic development and goal achievement
  • Optimize training programs based on individual response and adaptation
  • Provide evidence-based recommendations for exercise progression

15.2 Comprehensive Training Data Collection

Strength Training Data: When you use our strength training features, we collect:

  • Exercise selections and workout programs completed
  • Weight lifted, repetitions performed, and sets completed
  • Training frequency and session duration
  • Rest periods and training intensity (RPE) data
  • Progress tracking over time including strength gains and volume progression
  • Coach feedback and program modifications

Cardiovascular Training Data: When you use our cardio training features, we collect:

  • Exercise type, duration, and intensity levels
  • Heart rate data and training zone information (if provided)

Fitness Testing Data: When you use our performance testing features, we collect:

Your health and fitness data may be shared with:

  • Coaches and Trainers: Coaches you have connected with can access your training data across all modalities to provide guidance and program development.
  • Important: We do not verify coach qualifications, and you assume all risks associated with sharing data with coaches.
  • Team Administrators: In team settings, administrators may access individual or aggregated performance data depending on team configurations.
  • Service Providers: Neon (Postgres database), Render and Vercel (application hosting), Cloudflare (CDN and R2 object storage), Stripe (payment processing), and other third-party providers who process this data on our behalf, subject to strict confidentiality and security requirements

We will not sell your health and fitness data or use it for advertising purposes without your explicit consent.

15.4 Your Rights Regarding Health and Fitness Data

You have control over your health and fitness data, including:

  • Access: Request copies of your training data across all modalities.
  • Correction: Update or correct inaccurate training information, test results, or performance data.
  • Deletion: Request deletion of specific workout sessions, test results, or categories of fitness data.
  • Restriction: Limit how specific types of training data are processed, shared, or used.
  • Export Options: Download your training history, progress reports, and performance analytics.

15.5 Health and Safety Disclaimers

As detailed in our Terms and Conditions:

  • Users are responsible for obtaining appropriate medical clearance before beginning training programs
  • The Service is not a substitute for professional medical advice
  • Users must respect their individual physical limitations and capabilities
  • Appropriate equipment inspection and safety measures are user responsibilities
  • Users assume all risks associated with training activities

16. VIDEO AND IMAGE CONTENT

16.1 User-Generated Video and Image Content

Our Service allows you to upload and share videos and images related to your training activities, skill demonstrations, and performance documentation. Please be aware that:

  • You retain ownership of your video and image content
  • By uploading content, you grant us a license to use, store, and process that content as described in our Terms and Conditions
  • Content may be visible to coaches and other users according to your privacy settings
  • We process and store this content securely through Cloudflare R2 storage with encryption and access controls

16.2 Training Documentation Media Content

Video and Image Collection: Our training documentation and assessment features allow upload of videos and images. This content:

  • Is stored securely with Cloudflare R2 storage with encryption
  • May be accessed by designated coaches for assessment, feedback, and program development purposes
  • Is kept until you or your coach delete the submission, or your account is deleted
  • Is processed according to our data retention policies
  • May be compressed or processed for efficient storage and transmission

Content Processing: We may process uploaded media to:

  • Compress files for efficient storage and transmission while maintaining quality for assessment purposes
  • Generate thumbnails and previews for quick reference and navigation
  • Facilitate coach review workflows and feedback systems
  • Enable progress tracking through visual documentation over time

16.3 Deletion and Retention of Video and Image Content

Content Lifecycle: For training and assessment submissions:

  • Content is kept until the submission or the account is deleted; nothing is purged automatically after review
  • Assessment results, feedback, and performance scores are preserved
  • Users can request deletion of any uploaded content
  • Deleted content is removed from active Cloudflare R2 storage systems
  • Content may remain in backup systems for a limited period for recovery purposes

Account Deletion Impact: When accounts are deleted:

  • All video and image content is removed from active Cloudflare R2 storage
  • Backup copies are purged according to our 90-day deletion timeline
  • Content cannot be recovered after account deletion is completed
